Position Purpose

The Executive Secretary is required to provide comprehensive administrative support to facilitate the efficient functioning of the Hong Kong Compliance department, ensuring seamless coordination, effective communication and optimal time management for the executive team. 


To provide general secretarial support to senior members of the Compliance department in Hong Kong, including:

  •  managing calendars and meeting arrangements
  •  assisting on communications with internal and external parties
  •  reception of visitors and guests

To provide support to facilitate the general daily operation of the Hong Kong Compliance office, including:

  • managing stationery inventory
  • handling and distributing mails
  • maintaining floor plans, locker and key control, directories, etc
  • arranging with other support departments to facilitate office repair and maintenance works as required
  • supporting on business continuity management preparation and drills

To support the organization of meetings, trainings, seminars, work lunches and other group activities for the department

To provide general administrative support to team heads and team members, including:

  • onboarding of new joiners and offboarding of leavers
    arranging meeting rooms, equipment and facilities
    organizing travel bookings and visa arrangements 
    handling expense claims for team heads and reviewing expense claims of team members
    maintaining shared drives and sharepoints, distribution lists and access lists
    arranging system and physical access requests

To assist overseas Compliance colleagues in their meeting schedules, visa arrangements, access card, working room or desk arrangements, etc during their visit to the Hong Kong office

To work closely with other executive assistants and secretaries within Asia Pacific Compliance and support jointly on departmental and region wide administrative tasks as needed

Skills required

  • Secretarial skills including experience in managing travel bookings, expense claims, administrative duties, etc
  • Mature, independent, with good integrity, strong work ethics and a positive mindset
  • Proactive attitude and the confidence to push requests to fulfilment  
  • Attentive to details and adaptive to changes
  • Good communication skills (in written and spoken English and Chinese/Cantonese) to liaise with colleagues at different levels and in different departments as well as with external parties
  • Proficient in MS Word, Excel, PowerPoint, Teams, Outlook and capable of learning to use new applications  
  • Pleasant and cheerful personality to work in a team a must; a customer service background helpful
